BRIEF DESCRIPTION:

The Government Relations Assistant provides a wide variety of legislative and administrative support to the Government Relations Department.

DUTIES:

Providing legislative/administrative support to Director, Deputy Director and Associate Directors for Federal Affairs 

  • Maintaining the Director’s schedule and coordinating communication/meetings with the rest of the Department of Government Relations as necessary. 
  • Assisting in the drafting, editing, and distribution—to both internal components as well as external agencies—of all correspondence and their related back up materials. Maintaining extensive and organized electronic and hard copy filing system of these materials. 
  • Making meeting arrangements and prepare appropriate background materials in a timely and efficient manner. 
  • Closely tracking pertinent issues and providing background research as needed. Providing administrative support for, MIAW, and the Components staffed by the Director, Deputy Director and Associate Directors. Conducting research and literature searches as assigned. 
  • Compiling and maintain mailing lists and email lists of important contacts outside the APA.

Providing administrative support for the Division of Government Relations 

  • Covering the phones for the Department of Government Relations; 
  • Using knowledge of APA and DGR activities, responding to inquiries or referring calls, as appropriate;
  • Assisting other DGR staff members with projects as needed; 
  • Scheduling and arranging meetings as requested; 
  • Assisting Associate Director, Operations in maintain billing files; 
  • Maintaining electronic and print files which contain all Testimony and Comments submitted by the APA; 
  • Sorting and distributing mail and faxes for DGR; 
  • Contacting messenger service as needed; 
  • Performing general office tasks such as copying and faxing; 
  • Ordering and maintaining office supplies

Assisting in the overall lobbying effort of the Department of Government Relations 

  • Maintaining an understanding of all of the legislative priorities for the Department of Government Relations and tracking these priorities in CQ and other national medial for policy developments, hearings, briefings, etc. 
  • Updating fact sheets and other legislative material at the request of lobbyists. 
  • Contacting, as directed, key Members of Congress, Congressional staff and Executive Branch personnel to seek their support of APA legislative priorities. 
  • Assisting in the drafting, editing and formatting of APA testimony for congressional hearings. 
  • Regularly update our database in CQ. 
  • Assisting in the planning and work at APA receptions and congressional events 
  • Tracking national media for policy developments and information important to APA issues.

Communicating with APA members to keep them informed of DGR activities 

  • Responding to numerous phone and written inquiries from APA members regarding APA’s and other significant DGR issues, legislative and regulatory efforts 
  • Distributing various types of literature (congressional testimony and studies) either from e-mail, phone or mail requests 
  • Contacting APA members to alert them of urgent issues that are being addressed in legislation

Providing administrative support for Advocacy Day

Ongoing Project from January-March 

  • Keeping track of all registrants and uploading their information into DDC CQ. 
  • Assisting in the logistical planning of the event 
  • Ordering necessary supplies 
  • Coordinating with vendors for events such as the Congressional Reception 
  • Updating and formatting all mailing materials including registration packets 
  • Assisting in the production of leave behind packets and participant packets 
  • Compiling printed materials to be used for the event 
  • Any administrative tasks requested by the Director or Associate Director, Operations. 
  • Following the Advocacy Day event, compiling the results of the overall program evaluations for review by the Director and Associate Director, Operations.

Performs other duties as assigned.

EXPERIENCE AND PROFESSIONAL QUALIFICATIONS: 

  • Bachelor’s Degree with two years minimum related experience, or an equivalent combination of education and experience 
  • Knowledge of the government and legislative process 
  • Strong oral and written skills 
  • Proficiency in Microsoft Word and Excel, as well as the entire Microsoft Suite 
  • Familiarity with CQ, or similar grassroots software 
  • Friendly and professional phone manner 
  • Ability to work independently, with minimum supervision 
  • Ability to interact effectively with other staff, APA members, Members of Congress and their staff, White House Staff, press, and staff of federal employees 
  • Ability to work under pressure and meet deadlines
