BRIEF DESCRIPTION:
The Senior Program Coordinate is responsible for coordinating the Office of Minority and National Affairs (OMNA) on Tour program and support the Council on Geriatric Psychiatry and other committees as assigned.
DUTIES:
Coordinate development, implementation and marketing of OMNA on Tour, a traveling program to educate communities about racial, ethnic and other disparities in mental health and mental health care and strategies to eliminate them
- Collaborate with local planning committees on program/agenda development;
- Compile CME applications and follow-up reports;
- Research, identify, and secure suitable meeting sites;
- Devise marketing plan; develop and disseminate marketing material directed at the proper audience in a timely fashion;
- Arrange logistics (e.g., food & beverage, A/V, set-up, sleeping room blocks, etc.);
- Orchestrate attendee registration process;
- Coordinate and support speakers;
- Coordinate preparation of meeting documents (e.g., agendas, handouts);
- Orchestrate shipping of meeting material to/from meeting site;
- Manage onsite meeting operations;
- Prepare meeting budgets; reconcile meeting expenditures (e.g., venue invoices, faculty reimbursements);
- Fulfill post-meeting reporting and analysis;
- Other necessary tasks
Coordinate and provide logistical and administrative support to assigned APA components, including the Council on Geriatric Psychiatry
- Arrange meetings and conference calls;
- In consultation with chairpersons develop, draft and disseminate all information pertinent to meetings, including meeting agendas and supporting meeting documents;
- Prepare and disseminate meeting notices, including procedures for making travel arrangements when applicable ;
- Attend meetings; take meeting notes and prepare meeting minutes;
- Provide information about APA policy, where required;
- Monitor and track applicable referrals from APA Governance to the components and facilitate compliance with them.
- Other duties as assigned
QUALIFICATIONS:
- Bachelor’s degree with 5 years’ relevant experience
- Program management experience, preferably in an academic, membership, or association setting
- Well-developed meeting planning skills
- Good cultural sensitivity
- Excellent writing skills, organization and prioritization skills
- Excellent proficiency with MS Office applications and The Internet
- Experience with marketing and promoting events and services a plus
- Able to travel
- Able to work overtime when needed
- Ability to handle multiple tasks and meet parallel deadlines
